Job Description
• Bachelor’s degree or Diploma in Supply Chain Management or a related field.
• 1-2 years of experience in Document Control, Procurement Administration, Purchasing or a related role; experience in a manufacturing or agricultural chemical company is an advantage.
• Proficient in Microsoft Office, especially Microsoft Excel and Word; experience with ERP, procurement or document management systems is preferred.
• Strong ability to organize, classify, track, archive and retrieve documents accurately and systematically.
• High level of accuracy and attention to detail when checking procurement documents, supplier information, quantities, prices, approvals and supporting records.
• Good communication and follow-up skills with the ability to coordinate effectively with Procurement, Finance, Warehouse, Production, suppliers and other departments.
• Responsible, organized, detail-oriented, trustworthy, proactive and able to maintain confidentiality and work effectively under pressure.
Job Specification
• Receive, review, organize, and maintain all procurement-related documents, ensuring proper filing and easy retrieval.
• Prepare and control Purchase Requisitions (PR), Purchase Orders (PO), quotations, supplier documents, contracts, invoices, and other procurement records.
• Monitor the status of procurement documents and follow up with Procurement Officers, suppliers, Finance, Warehouse, and relevant departments to ensure timely completion.
• Check procurement documents for completeness, accuracy, proper approvals, signatures, dates, and required supporting documents before filing or submission.
• Supplier Document Management – Maintain and update supplier profiles, quotations, agreements, licenses, certificates, product specifications, and other supplier-related documents.
• Maintain systematic hard-copy and electronic filing systems with proper document numbering, version control, confidentiality, and retention procedures.
• Prepare document status reports and provide required procurement records for internal audits, management reviews, and compliance purposes.
